Stile school admins have the ability to set up Subjects in bulk using the CSV Importer tool.
In most cases it is easiest (and recommended) for teachers to add their students to Stile via Class code or email. However if you have a large number of students or a complex Class structure, it's also possible to import a bulk file of student and teacher emails to be invited to enrol all at once. This tool is only available to Stile school admins. It does not manage password information or any other account data, nor does it create new accounts. This tool will create Subjects and Classes, allocate email addresses to those Subjects and Classes, and then it will send invitation emails to each address. The invitation emails each contain unique, single-use tokens to enrol the recipients in their specified Classes and Subjects.
Before you continue: It is important to understand how Stile Subjects and Classes are structured. You can read more here.
Create a spreadsheet with the following five cells in the top row:
- subject code
- subject name
- role
- student class name
Warning: These five column headers must be included exactly as they are written here in order for the CSV Importer tool to recognise them.
Subject code
The contents of the Subject code column are optional and can be left blank, however the header must be included. The Subject code becomes helpful when you want to create more than one Subject with identical Subject names. For example if Mr Smith and Ms Kong both need their own "Year 9 Science" Subjects, then you could use a Subject code "9SCI-S" for Mr Smith and "9SCI-K" for Ms Kong. This will tell Stile to create two different Subjects called "Year 9 Science" instead of enrolling both teachers and their Classes in a shared Subject.
Subject name
The Subject is where resources and students are organised in Stile. In the example spreadsheet above, one Subject (Year 8 Science - Mr McD) will contain two Classes (8A and 8B). This way the teacher only needs to create a single set of resources to share to the two year 8 Classes. The Subject name is what will appear to students and teachers on their homepages.
Role
This should either be student or teacher for each account. It can not be left blank.
Student class name
Classes are how students are organised within a Stile Subject. In the example above, students are sorted into 8A and 8B. The Class names must each be less than 10 characters. Leave this cell blank for teachers. Teachers are not associated with specific Classes in a Subject, and so they should only be enrolled once per Subject with no student Class name assigned. A student can only be enrolled in one Class per Subject.
Email
Ensure that each email address is correct and able to receive emails. Stile uses these addresses to send email invitations, and teachers and students use these email addresses as login credentials. The entire file upload process can fail if a single email address is invalid or mistyped.
Upload the spreadsheet
The spreadsheet must be saved as a .CSV file. It is best to create a separate file for each year level if your complete spreadsheet is greater than 1000 rows.
Click Manage staff on the home page, just below the school's name.
Click Import data to continue. Read the notes on the following page to ensure your data is accurate, and then click Upload a CSV file.
Upon uploading the file, a summary of changes will appear on the page as well as a detailed list of changes. Make sure the details are correct, and then click Apply these changes now to import your school data.
Email addresses listed in the .CSV file will receive invitation emails as soon as the changes are applied. If they are new to Stile, then they will be prompted to create accounts when they click the link in the email.
Questions? Concerns? Error messages? Email a copy of the file to help@stileeducation.com and our Support team will be happy to assist.
