Stile school admins have the ability to set up Subjects in bulk using the CSV Importer tool.
In most cases it is easiest (and recommended) for teachers to add their students to Stile via Class code or email. The import tool is helpful however if you have a large number of students or a complex Class structure.
Upon uploading the CSV, Stile will create Subjects and Classes and then invite students and teachers to enrol via email. The importer does not manage password information and it does not create or provision accounts. Students and teachers need to follow the link in their email invitations to get started. The emails will enrol the recipients in their specified Classes and Subjects. This tool is only available to Stile school admins.
Before you continue: It is essential to understand how Stile Subjects and Classes are structured. You can read more here.
Create a spreadsheet with the following five cells in the top row:
- subject code
- subject name
- role
- student class name
These five column headers must be exactly as they are written here in order for the CSV Importer tool to recognise them.
subject code
The subject code is best used as an internal reference because it is not readily visible to Stile users. Teachers and students will refer to the subject name as it appears in their homepages or side menus. Keep the subject code short with no spaces.
subject name
The subject name is how the Subject will appear to your students and teachers in Stile. It is best to make this descriptive and clear so that students will know where to go. We recommend a structure that includes the year level, topic, and teacher's name such as 9 Science - Ms Smith.
Keep the same subject code and subject name for each student and teacher If you want to set up a Subject with multiple Classes.
role
This should either be student or teacher for each account. It can not be left blank.
student class name
Class names are only visible to teachers. The default student class name in Stile is Students. The default structure for multiple Classes is Class A, Class B, Class C, and so on. Keep class names under 10 characters. If your Subject has more than one teacher, include their initials or part of their surnames in the Class names (e.g. 9A-JS, 9B-JS, 9C-SK).
This column must be filled for students and it must be blank for teachers. This is because teachers are not allocated to specific Classes within Subjects. Each student and each teacher can be enrolled in any number of Subject. They can only be enrolled once per Subject.
email
Ensure that each email address is correct and able to receive emails. Stile uses these addresses to send invitations. Teachers and students use their email addresses as login credentials. The entire file upload process can fail if a single email address is invalid or mistyped.
Sample spreadsheet
| subject code | subject name | role | student class name | |
| 202409SCI | 9 Science - Smith | teacher | MsSmith@schoolmail.com | |
| 202409SCI | 9 Science - Smith | student | 9A | student2@schoolmail.com |
| 202409SCI | 9 Science - Smith | student | 9A | student2@schoolmail.com |
| 202409SCI | 9 Science - Smith | student | 9B | student3@schoolmail.com |
| 202409SCI | 9 Science - Smith | student | 9B | student4@schoolmail.com |
| 202410SCIA | 10 Science | teacher | MsSmith@schoolmail.com | |
| 202410SCIA | 10 Science | student | Students | student5@schoolmail.com |
| 202410SCIB | 10 Science | teacher | MrKeen@schoolmail.com | |
| 202410SCIB | 10 Science | student | Students | student6@schoolmail.com |
In the sample spreadsheet above, Ms Smith and 4 students are all in the same Subject: 9 Science - Smith with subject code 202409SCI. Students 1 and 2 are in Class 9A, and Students 3 and 4 are in Class 9B. Ms Smith does not have a class name because teachers are not enrolled in Classes.
Ms Smith is also in 10 Science with a single Class and Student 5.
Mr Keen also has a Subject called 10 Science, but it is a different Subject because it has a different subject code (202410SCIB vs 202410SCIA). Mr Keen's Subject has one Class with Student 6.
Final checks
Make sure you check the following advice before you continue:
- The columns are correctly titled and ordered;
- Subject names are easy for students to understand;
- Teachers and students in the same Subject all have the same subject code and subject name;
- Roles are defined for all users;
- Student class names are blank for teachers and filled for students;
- Teachers are not listed more than once per Subject;
- Use of this tool has been communicated with all relevant teachers to ensure they have not already created their own Subjects.
Upload the spreadsheet
The spreadsheet must be saved as a .CSV file. It is best to create a separate file for each year level if your complete spreadsheet is greater than 1000 rows.
Click Manage staff in the Admin section of your side menu. Select Import data to the left of your staff list. Read the notes on the page to ensure your data is accurate, and then click Upload a CSV file.
A summary of changes will appear on the page as well as a detailed list of changes. Make sure the details are correct, and then click Apply these changes now! to import your enrolment data.
Email addresses listed in the .CSV file will receive invitations as soon as the changes apply. New Stile users will be prompted to create accounts when they click the link in the email.
Questions? Concerns? Error messages? Email a copy of the file to help@stileeducation.com and our Support team will be happy to assist.
